Emerald People’s Utility District is now accepting community room requests!
The District’s courtyard and lunchroom is available to District customers at no cost, when the areas are not needed for District activities. The room can be used for small group gatherings that can be accommodated with the available parking and room size capacity limits. We require the signature of an EPUD Customer who has received an orientation on the room, and who will attend the event and ensure that guests comply with the following Rules and Regulations. In signing this form, you are taking responsibility for the use of the room, including payment of any charges assessed by EPUD. Any misuse of the room will jeopardize future use. It is also agreed that you, and the organization or community group you represent, shall indemnify and hold EPUD, its officers, agents, and employees harmless from any and all claims, actions, liabilities, costs, including attorney fees and other costs of defense, arising out of or related to the activities of the organization or any of its members or guests during its use of the EPUD Meeting Room under this application.

Rules and Regulations
- Pick up the key at Emerald’s front desk anytime the preceding week, Monday-Thursday between 7:30-5:30 p.m. When you are finished with the room, the key can be deposited in the drive-up drop box located in the front parking lot, or returned to the front desk during working hours. IF YOU FORGET TO PICK UP THE KEY AND EMERALD HAS TO DISPATCH SOMEONE TO LET YOU IN, A $100 charge will be assessed to your EPUD bill.
- Set up all tables, chairs, etc., to be used during your function, and return them to the original arrangement (see drawing on back) when finished with the room. Make sure the window blinds are in their original arrangement (“down” on the inside doors, “up” on the outside doors).
- The kitchen is no longer available for customer use and is not accessible from the meeting room.
- Guests are limited to the visitor parking spots (12 + 1 accessible space)
- Bring your own cleaning tools and products and clean up any areas used. Clean-up includes, but is not limited to:
- Wiping counters and tables, sweeping and mopping floors.
- Removing your garbage and recycling items from the room (bring a large garbage bag with you).
- If the fire alarm sounds, immediately LEAVE the room. Do not block the doors to the courtyard.
- Children shall be properly supervised (not allowed in planted areas).
- You will be billed for any charges resulting from:
- the need to clean up the room, courtyard, or grounds after your use ($75);
- any damages or theft (cost of replacement and/or repair);
- false alarms to fire department (cost of dispatch);
- response by Emerald staff to emergency calls (cost of labor);
- Staff having to let you in the room because you didn’t pick up your key ($100).
NOT ALLOWED AT ALL
- No usage of alcoholic beverages or illegal drugs anywhere on the property.
- No open flame, such as candles or BBQ grills.
- No glitter.
- No loaded firearms or fireworks are allowed in District facilities.
- No smoking in the District building or adjacent courtyard. Smokers must go to the parking lot, and dispose of their cigarette butts.
- No pins, tacks, or tape of any kind are to be used in District facilities. Decorations can be hung using “Fun-Tack” or similar temporary adhesive.
- No smoke machines.
- No rice or birdseed is to be thrown on any part of District grounds.
- The room is free to EPUD customers to use, therefore we do not allow a room user to charge a fee for any class or service they are providing while using the room.
Please note:
We reserve the right to cancel any or all of the Meeting Room reservations, in the unlikely event of an emergency where the room is needed for other uses. Kitchen and South Meeting Room are no longer accessible from the Meeting Room.
